Apple Mail Showing the Wrong Inbox on macOS 27
You open Mail and the message list looks wrong. Emails from weeks ago sit near the top, previews are cut off after a few words, some messages seem missing, or the list looks different each time you reopen the app. This MacHabits fix for Apple Mail showing old or truncated messages on macOS 27 walks through it.
Most of the time, nothing is wrong with your email. Mail has several view settings that change what the inbox shows, and a macOS update can switch some of them on or reset them. Here’s what to check, starting with the settings that explain most cases.
First, compare with another device
Open the same account in webmail or on your iPhone. If the messages look right there, the email on the server is fine, and the problem is how Mail on your Mac displays it. That rules out lost email and points you to the checks below.
Check Mail Categories
If Categories are on, your inbox is split into sections such as Primary, Transactions, Updates and Promotions, and each shows only part of your mail. It’s easy to think messages are missing or out of order when you’re looking at one category.
Choose View > Show Mail Categories to turn it off, or click the All Mail category to see everything. The inbox returns to a single, date-ordered list.
Check filters and sorting
- Filter: look for the filter button at the top of the message list. If it’s highlighted, Mail is showing only some messages, such as unread ones. Click it to turn the filter off.
- Sort order: choose View > Sort By and pick Date, with the newest messages at the top. If the list is sorted by something else, old messages can appear first.
Check conversations
With View > Organize by Conversation turned on, an old thread jumps to the top when anyone replies, and your sent replies can appear inside inbox threads. That can look like old or sent mail showing up in the wrong place.
Turn off Organize by Conversation to see one message per row. If you want to keep conversations, turn off Include Related Messages in the same menu, so messages from other mailboxes don’t appear in inbox threads.
Fix truncated previews
- Preview length: go to Mail > Settings > Viewing and set List preview to two lines or more. This setting only applies in the standard layout, not in Column Layout.
- Summaries: if your Mac uses Apple Intelligence, the preview may be a short summary instead of the first lines of the message. Turn off Summarize Message Previews in the same settings.
- Layout: check View > Use Column Layout and Show Side Preview or Show Bottom Preview. Dragging the preview divider all the way to the edge hides the preview pane completely.
Quit Mail properly
If the list changes each time you reopen Mail, notice how you close it. Clicking the red button closes the window but leaves Mail running, and some users have reported the message list changing size or layout when it’s reopened that way. Choose Mail > Quit Mail, or press Command-Q, and see whether the layout then stays the same.
Rebuild the mailbox
If the settings are right but the list still shows wrong or stale messages, Mail’s local copy of the mailbox may be out of step with the server. Select the affected mailbox in the sidebar, then choose Mailbox > Rebuild. Mail discards its local copy and downloads the mailbox again. On a large account, this can take a while, and messages may disappear briefly before they come back.
Rebuild only mailboxes stored on a mail server. Be careful with mailboxes under On My Mac; they exist only on your Mac, so back up first.
If the problem keeps coming back
- Check for updates. Early macOS releases often include Mail fixes. Check System Settings > General > Software Update.
- Remove and re-add the account. For iCloud, Gmail and most IMAP accounts, the mail stays on the server. Remove the account in System Settings > Internet Accounts, restart and add it again. Don’t do this with POP accounts or local mailboxes unless you have a backup.
- Let indexing finish. After a macOS update, Mail and Spotlight re-index your messages in the background. Search and message counts can be unreliable until that finishes.
The short version
If Mail on macOS 27 shows old, missing or truncated messages, compare with webmail first. Then check Mail Categories, the filter button, the sort order and Organize by Conversation, and set List preview in Mail’s Viewing settings.
